The Team Assistant role at OMD EMEA offers an exciting opportunity for any aspiring professional to make a significant impact. This role involves a wide range of responsibilities, from onboarding and calendar management to agency support and office upkeep. This role reports to the Senior Operations Manager and will support a team of 90+ people including senior leadership members. This is an opportunity to join a market-leading team working for one of the most presidios clients in the tech space covering Europe and the Middle East.
This role requires someone who can multi-task, act flexibly, and handle last-minute changes in direction. Success will depend on this person working under high-pressure deadlines and maintaining a “can do” attitude.
Areas of responsibility
- Leadership:
- Weekly calendar check-in with iLT Managing Partners and daily management of dairies, scheduling and meeting requests.
- Booking and creating travel itineraries
- Weekly timesheet submission.
- Expense logging and receipt tracking.
- Assisting with ad hoc requests
- Meeting management:
- Organising, at times, large groups for calls, both internally and externally.
- Meeting room bookings and maintenance as required.
- Coordination of monthly hybrid team meetings, helping to manage schedules, putting the deck together as well as managing the room set up.
- Working with the greeter desks to ensure room bookings for meetings are scheduled and managed appropriately.
- Ordering catering for large internal or client meetings
- Team/Office:
- Locker management and maintenance
- Supporting the senior manager with the security induction process, coordinating meetings, sending requests and tracking the competition of NDAs.
- Ensuring the overall office upkeep is maintained and issues are communicated effectively and followed up on.
- Manage inventory of hardware (MacBooks, iPhones) liaising with managers and IT ensuring the team has correct the technology needed. Tracking and escalating requests when necessary.
- Working with the print team and senior office manager to have the latest assets from recent campaigns displayed.
- On/off boarding:

- Completing onboarding requests
- Create, request and track the creation of all applicable accounts.
- Work with IT to ensure tech requests and managed appropriately.
- Communicate effectively between HR, IT, managers and new joiners to ensure a smooth onboarding experience.
- Shared responsibility over onboarding inductions for new joiners during their first day as well as monthly team inductions.
- Setting up welcome lunches.
- Ordering welcome packages for new starters.
- Management of off-boarding systems, and email systems.
About You
Strong and proven experience, handling a wide range of administrative-related tasks in addition to, supporting those in senior positions. The successful candidate must be able to demonstrate working proactivity with the support of a manager.
You must be reliable, optimistic, enthusiastic and ready to join a dynamic and creative environment located in central London.
